Job Description
Administrator and Client Servicing, Insurance
Full Time, 40 hours per week; in-office (Downtown Vancouver)
Summary of Role
Use your knowledge and experience in the financial services industry to provide operational and marketing administrative support, timely and accurate processing of new business applications and exceptional client servicing. Develop solid & lasting relationships with supplier partners, clients and team members.
Key Responsibilities
Operational & Marketing Support:
- Greeting in-person guests, handling phone calls, redirecting calls and messages
- Handling mail and couriers
- Ensuring all required supplies are on hand, ordering supplies, office food and beverages
- Liaison with building personnel on building related matters
- Manage renewal of various licensing and insurance for office and staff (E&O etc).
- Maintain and manage CRM; produce reports as required
- Assist with marketing activities such as direct mail campaigns, mass email communications and other related activities;
- Handle booking and coordination of all details for events and special occasions including planning meetings, client education and appreciation events and holiday events.
- Send out thank-you cards, Christmas cards, birthday cards, and bereavements cards
- Compose, review, edit and follow through on internal and external communication;
New Business Sales Support
Insurance:
- Complete life, critical illness, disability insurance applications
- Ensure that personal, financial, and underwriting questions are answered appropriately
- Assemble complete application packages for submission to insurance carriers
- Order corresponding underwriting requirements
- Update underwriting log and be prepared to update sales staff on status
- Follow-up on all outstanding requirements on a timely basis
- Coordinate with new business case coordinators and maintain open communication with underwriters on pending cases
- Follow up with clients in an appropriate and effective manner
Client Servicing Support
- Process life, disability, and critical illness insurance claims
- Update addresses and telephone numbers etc.
- Process policy changes (e.g. change of banking information, change of beneficiary)
- Address client inquiries regarding policies details and products
- Ensure premium payments are up-to-date
- Handle lapse notice and PAC returns
- Escalate complex requests to analysts and advisor
Interpersonal Development
- Knowing key contacts and applying appropriate protocols when communicating with these key persons
- Developing and ensuring relationships with wholesalers, case coordinators, and underwriters are maintained on a professional and effective basis
- Contribute to organizational teamwork by:
- Working collaboratively with staff and communicating openly
- Developing relationships with Ciccone McKay/ Immix Group staff
- Meeting personal/professional expectations and requirements

Experience & Education Requirements
- Licensed through Insurance Council of BC with LLQP
- 2+ years experience in financial services (insurance and investment) industry
- Completed University degree or industry-related diploma
- Proficient with Microsoft 365 (Teams, Word, Outlook, Excel etc.)
- Technologically savvy, with ability to use and learn various software and applications as required.
